1. Participation Registration

1.1

 

Applications for rental of virtual exhibit space shall be subject to the approval of DiTTAM, and DiTTAM reserves the right to reject applications for space with or with out cause if DiTTAM determines the rejection is in the best interest of the Expo. Upon acceptance of the booth booking registration by DiTTAM, its contents, as modified if applicable, shall become a legal binding agreement for exhibit space between the Exhibitor and DiTTAM, subject to the terms and conditions herein.
1.2 Participating Exhibitors must provide valid business registration and relevant trade licenses.
1.3 DiTTAM reserves the right to determine or verify the eligibility of Exhibitor for inclusion in the Expo prior to, or after, submission of the Booking Form. DiTTAM will determine the appropriateness of products to be exhibited by their distinctive characteristics or performance capability.

FAILURE TO HOLD EXPOSITIONS

Should any contingency prevent the holding of the Expo, DiTTAM reserves the right to reschedule the expo and no further claim will be entertained.

 

2. Payment Terms

2.1 Fee.
The cost for exhibit space is dependent on the event and the virtual booth type.
The fee must be fully paid to DiTTAM as per the terms of payment specified in the invoice by DiTTAM, including sponsorship, and advertisement if any.
2.2 All payments must be made 60 days prior to the event.
2.3 Payment Schedule.

Proof of payment must be emailed to treasurer@dittam.org.
Unless otherwise agreed upon by DiTTAM, in its sole discretion, the Exhibitor must fulfill the payment upon receipt of the invoice.
2.4 DiTTAM decision on any modifications to the Terms and Conditions is final. If any changes are requested by the Exhibitors which result in the increase of the fees due to DiTTAM, DiTTAM shall issue an updated invoice and the Exhibitor shall pay the amount in full as per the terms of payment specified in the invoice.

 

3. Privacy Policy - Data

3.1 EXHIBITOR’S PRIVACY POLICY

All personal data of any persons dealing with the Exhibitors shall be in accordance with the Privacy Policy of the Exhibitors. Exhibitors hereby expressly waives any and all rights and claims, actions and demands for damages, costs and expenses, including without limitation, legal fees, lost profits, and, against the virtual hosting platform, DiTTAM, their office bearers, officers, agents and/or employees for such removal and/or cancellation.

 

4. Cancellation & Refund Policy

4.1 Any cancellations of the Booth bookings must be made in writing to DiTTAM in 30 working days.
4.2 In the event the right is exercised during the Expo, DiTTAM shall not be liable for refund of exhibit space rental fees, exhibit rental fees or any other expense incurred by reason of DiTTAM’s removal of objectionable contents or cancellation of the exhibit space or any portion thereof. Exhibitor hereby expressly waives any and all rights and claims, actions and demands for damages, costs and expenses, including without limitation, legal fees, lost profits, and costs of goods sold, against the virtual hosting platform, DiTTAM, their office bearers, officers, agents and/or employees for such removal and/or cancellation.

 

5. Content Policy For Booth

5.1 DiTTAM reserves the right to prohibit and remove the display or advertisement of products at any time if the display or advertisement of such products would not meet Expo objectives.
5.2 The Exhibitor take sole and full responsibility of the display, video or advertisement and will not hold DiTTAM is liable for any violation of Intellectual Property rights
5.3 Only logo of the approve exhibitors are allowed to be displayed at the Virtual Hall and/or Virtual Booth façade and other exhibit displays.
5.4 At its discretion, if at any time DiTTAM deems a virtual exhibit, or an exhibit’s contents objectionable.DiTTAM reserves the right to remove and/or cancel the exhibit space or any portion thereof at Exhibitor’s \sole expense.
5.5 YouTube Link Video

All YouTube video links must exclude any lyrics that are racist, inflammatory, sexually explicit, sexist, gang-related or violent or that promote activities of any type that defame or denigrate women, law enforcement or other established authorities. Any display of video shall not include any lewd or sexually suggestive poses or actions.

DiTTAM shall be the final authority on the acceptability of music or video played by Exhibitor and the activities at the Virtual Booth. Violators are subject to immediate closure of their booth, removal of booth personnel and/or closure of the exhibit for the duration of the Expo.

 

 

6. Booth Policy

6.1 Virtual Booth Preparation and Readiness

Exhibitors will take all efforts to equip the virtual booth, install all logos and exhibit displays, tested and operational prior to the commencement of the expo launch time on the day of the event.
6.2 Booth Space

Virtual Booths must look professional and engaging. The use of personal pictures, posters, banners, etc. are encouraged
6.3 DITTAM’s right to remove and/or cancel booth, or any portion thereof, that DiTTAM deems objectionable.
6.4 All Booths will be inspected by DITTAM before or during the event and any exhibitors deviating from the Rules must make modifications to its virtual exhibit space at Virtual Exhibitor’s expense.
6.5 Exhibitors may opt to procure the virtual booth or virtual hall.
6.6 OPERATION AND CONDUCT
6.6.1 Exhibit Personnel.
6.6.1.1 Representatives of Exhibitor must confine their virtual activities to the virtual exhibit space.
6.6.1.2 Booths must be staffed during all Expo hours. Exhibitors that are not staffed during Expo hours could be subject to loss of credentials for future Expos and loss of other Expo privileges as determined by the DiTTAM.
6.6.1.3 Exhibitor shall not virtually harass or antagonize another party or attendee,visitors or consumers during the expo.
6.6.1.4 No area of the DiTTAM platform shall be used for any improper, immoral, illegal or objectionable purpose.
6.6.1.5 All Virtual Exhibitor or its representatives appearing on Webinars must wear appropriate apparel at all times. DiTTAM reserves the right to make determinations on appropriate apparel. Business or business casual attire is recommended. Virtual Exhibitors who are uncertain with regard to compliance with the appropriate apparel and entertainment regulations are encouraged to consult with DiTTAM in advance of the Expo.
 
6.7 Buyer Activities at Virtual Booths.

Exhibitors are permitted to host or sponsor any event that attracts buyers during Expo hours with written approval by DiTTAM.
6.8 Expo Opening Hours

The official online business hours will be from 10.00 a.m to 10.00p.m. The Exhibitors may opt to operate the virtual booths after the official hours.
6.9 Early Move-out.

The Virtual Exhibitor shall not initiate move-out or abandon its virtual exhibit prior to the official Expo closing time (without consent from DiTTAM). Violation will cause Exhibitor to be subject to a RM500 fine and loss of eligibility to participate in future Expos.
 
6.10 ACCESS CONTROL
 
6.10.1 DiTTAM will provide access control from event planning through the conclusion of all activities, including follow-up. DiTTAM shall not be held responsible for the loss of any material by any cause and urges the Exhibitor to exercise normal precautions to protect its account and login privileges.
6.10.2 Exhibitor logins may not be transferred to buyers or non-exhibitors.
6.10.3 Exhibitor waives any right to claim for damages against DiTTAM for the ejection of any person or persons from the platform provided by DiTTAM where, in the sole determination of DiTTAM, such person or persons have or likely will create a risk to an orderly expo and/or behave in an objectionable manner.

 

 

7. Liability between Exhibitor and Visitors/Purchase

7.1 Exhibitor’s Terms of Service to Customers

Exhibitor’s shall prepare for the Terms of Services to the customers. DiTTAM shall not be held liable for any fulfilment of the services procured by the customers nor the refund to the customers, if any
7.2 Terms Between Exhibitor and Payment Gateway

DiTTAM shall not be held liable for any fulfilment between Exhibitor and Payment Gateway.
7.3 Exhibitors hereby expressly waives any and all rights and claims, actions and demands for damages, costs and expenses, including without limitation, legal fees, lost profits, and costs of products or services sold, against the virtual hosting platform, DiTTAM, their office bearers, officers, agents and/or employees for such removal and/or cancellation.
